1. About these terms

Beyond The Game Coaching Academy (“BTG”) is operated by Marc Jackson as a sole trader. By booking a trial, session or membership, the parent or carer making the booking agrees to these terms on behalf of themselves and the participating child.

Any prices, session details and additional booking information shown during registration form part of the agreement. If you have a question before joining, please contact BTG.

2. Booking and membership

A booking reserves the child’s place within their allocated small-group session. Every group session is capped at an absolute maximum of 10 children to support consistent, child-centred coaching.

Monthly membership is £58 and reserves an ongoing weekly place rather than purchasing attendance at individual sessions. Places and group recommendations are personal to the registered child and cannot be transferred without BTG’s agreement.

3. Payments

Fees must be paid in advance through ClassForKids or another payment method expressly agreed by BTG. The applicable price and collection schedule will be shown or confirmed before registration.

Membership payments relate to the reserved place and are not ordinarily refundable once due and paid. This does not affect any statutory rights that apply, any remedy due where BTG has not provided a service with reasonable care and skill, or BTG’s discretion to consider exceptional circumstances fairly.

If a payment fails or becomes overdue, BTG will contact the parent or carer and may pause attendance or release the place if payment is not resolved within a reasonable period.

4. Cancellation and notice

A minimum of four weeks’ written notice is required to end a monthly membership. Notice must be emailed to marc@beyondthegame.uk. Payments falling within the notice period remain due.

Any statutory cancellation rights that apply to an online or distance booking remain unaffected.

5. Missed sessions

Membership secures the child’s place regardless of individual attendance. Sessions missed by a participant are therefore not ordinarily refundable, credited or transferable.

BTG may offer reasonable flexibility in particular circumstances where capacity and practical arrangements allow, but this cannot be guaranteed and does not create an ongoing entitlement.

6. SEND support and individual needs

BTG provides inclusive coaching for children with a wide range of needs and ways of participating. A formal SEND diagnosis is not required.

Parents and carers must provide accurate, relevant information about support, communication, medical or safety needs through the appropriate confidential intake process, and tell BTG promptly if that information changes. BTG will seek to make reasonable, practical adjustments and work collaboratively with families, but not every need or staffing arrangement can be met within every group. Individual care, personal support or dedicated staffing must be agreed before attendance.

7. Parent and carer responsibility

The child remains the responsibility of their parent or carer until the coach accepts them into the session and returns them at the end. Prompt collection is required.

Parents and carers must remain onsite unless BTG has explicitly agreed otherwise. For sessions where an adult is required to remain onsite, that adult must stay available and be able to support their child promptly when requested by a coach.

If a coach asks for parent or carer support, the accompanying adult must promptly collect the child from the playing area and supervise them away from the activity until the coach considers that it is appropriate and safe for them to return.

Parents and carers remain responsible for personal care and toileting unless a different arrangement has been expressly agreed with BTG in advance.

8. Behaviour, safety and regulation breaks

Unsafe physical behaviour

BTG recognises that behaviour can be a form of communication. Inclusion must also protect the safety, dignity and wellbeing of every child, member of staff and other person present.

Significant unsafe physical behaviour—including hitting, kicking, biting, deliberate tripping, forceful pushing or similar behaviour—may result in the child being asked to leave the playing area for a minimum five-minute regulation or reset break with their parent or carer.

After five minutes, the coach and parent or carer may assess whether the child is sufficiently regulated and whether it is safe for them to return. The minimum period passing does not guarantee immediate re-entry.

If three significant unsafe-behaviour incidents occur during the same session, BTG may end the child’s participation for the remainder of that session and return them to their parent or carer’s supervision. BTG may end participation immediately following a particularly serious incident where reasonably necessary to protect the child, participants, staff or others present.

Bullying, goading and disrespectful behaviour

Repeated name-calling, targeted teasing, booing, goading, intimidation or deliberate attempts to upset another participant are not accepted. Coaches will provide appropriate guidance and an opportunity for the behaviour to stop. If targeted or inappropriate behaviour continues, the child may be asked to take a regulation or reset break with their parent or carer. Persistent or serious behaviour may result in participation ending for that session.

Following coach instructions

Children may choose not to participate and may need additional processing or regulation time. However, anyone participating in an activity must follow reasonable coach instructions relating to safety and session organisation. If a child is unwilling or unable to do so, a coach may ask their parent or carer to supervise them away from the playing area until they are ready and able to rejoin safely.

BTG’s inclusive approach

These measures are not intended to punish children for having additional needs or experiencing dysregulation. They provide predictable boundaries while protecting everyone’s safety, dignity and enjoyment.

Each new session represents a fresh start. Where significant concerns recur across multiple sessions, BTG may meet with the parent or carer to review the child’s support needs, consider reasonable adjustments and assess whether the current session format remains appropriate and safe.

9. Health and safety

Parents and carers must follow reasonable venue and coach instructions and ensure the child has suitable clothing, footwear and any necessary medication. Medication remains with the responsible adult unless BTG has expressly agreed another arrangement.

BTG coaches will take reasonable care in planning and delivering sessions. Football and physical activity nevertheless involve ordinary risks such as trips, falls, collisions and contact with equipment or other participants. Parents and carers should raise any concern about safe participation before the session.

10. Weather and cancellations by BTG

Sessions normally continue in ordinary outdoor weather. BTG may cancel, shorten or adapt a session where weather, venue conditions, staff availability or another circumstance makes normal delivery unsafe or impracticable.

Where BTG cancels a session, it will communicate with families as soon as reasonably possible and will offer an appropriate replacement, credit or refund where required by the circumstances and applicable consumer law. BTG is not responsible for associated travel or other indirect costs arising from a cancellation.

11. Communication and changes

Families are responsible for keeping their contact information current and checking important communications about their session. BTG aims to communicate openly and supportively.

BTG may make reasonable changes to session times, venues, coaches or these terms when necessary. Families will be given reasonable notice of material changes wherever practicable. If a material change significantly affects the service being provided, BTG will discuss the available options fairly.

12. Statutory rights and contact

Nothing in these terms excludes or restricts rights or liabilities that cannot lawfully be excluded, including liability for death or personal injury caused by negligence.
